Reimbursements: keep the receipt and check the transaction

You paid an expense that another person or company has agreed to reimburse. The receipt is on your phone, the purchase appears at your bank and the repayment may arrive later. When you need to check what happened, those records should make sense together.
Use CleverNote Finance to keep the source and review the transactions. The steps below are a process you manage: submitting the request, following its approval and confirming payment remain part of your arrangement with whoever will reimburse you.
Keep the expense with context
Capture a readable photo of the receipt or save its PDF in Finance. Check that the image includes the merchant, date, amount and currency. If a detail is cropped or unreadable, look for a better copy before relying on that reading.
Add the purpose of the expense and who agreed to reimburse it. Choose a sentence you will understand later instead of a generic title such as “receipt.” For example, in this fictional situation:
Transport to the Garden project meeting on October 2. I paid R$ 48. Reimbursement agreed with the team; I still need to send the receipt.
This text records what you know at that moment. If you have not submitted the request yet, say so. Keeping the source in CleverNote does not send the request to your team.
Check the transaction before using it
After processing, open the source and compare CleverNote’s reading with the document. Check the amount, currency, date and merchant. An extracted record may need correction, especially when a receipt lists the subtotal, fee and total on separate lines.
If the purchase also appears in the bank history available in the app, check whether both records represent the same payment. The amount and date help, but they are not enough to decide: two separate purchases can have the same amount.
For a confirmed duplicate, use reconciliation in Finance. To keep a document with an existing transaction, open the transaction adjustment and look for Linked receipts. You can search for the note and attach it after checking its content.
Attaching a receipt does not change the amount or remove another transaction. The linked receipts guide explains that difference.
Record what changed in the request
After sending the receipt, add the context you will need to check the request later: the submission date, recipient and request reference, if there is one. When a reply arrives, record what it confirms, including any partial amount.
Avoid reducing everything to “done.” A submitted request, an approval and a received payment are different events. Keep that distinction in the text accompanying your sources, without assuming the app has an automatic reimbursement status.
Check the repayment separately
When the money arrives, check the source of the repayment and its corresponding transaction. Compare the received amount with what was agreed. If it differs, return to the request and reply before deciding why.
Keep the original expense record. The later incoming payment tells another part of the story; it does not change how much you paid for the purchase. If one repayment covers several expenses, record which receipts support that association. Do not infer the connection just because the totals appear to match.
Retrieve the sources when you need to explain
You can ask Finance chat: “Where is the transport receipt for the Garden project meeting?” Open the sources presented and check their dates and context. Financial questions with sources help you investigate what is recorded.
If the receipt or payment confirmation is missing, record what you still need and look for the source. A chat answer can help with retrieval, but it does not prove that a reimbursement was approved or received outside your saved records.
