Receipt and statement: how to check records that look duplicated
This guide is for CleverNote Finance: transactions, budgets and goals. Explore the other blog
You saved a purchase receipt. Later, the same amount appeared in your bank history. When you review your spending, you find two similar records. They could represent one purchase recorded through two sources, or they could be two real purchases. Check the pair before merging anything.
In CleverNote Finance, start with Entries. The purpose is to decide which records represent the same movement of money. Two documents about a purchase can be useful; two entries counting the same purchase can distort your total.
Compare the records before deciding
Consider a fictional example: a CA$84 receipt from a hardware store appears alongside a CA$84 bank entry dated the next day, under an abbreviated name. The similarity deserves a review, but it does not yet prove they are the same expense.
Open the records and compare:
- Amount and currency: CA$84 and US$84 are different monetary amounts. Check each source.
- Date: distinguish the purchase date, the date shown by the bank and the date you saved the document.
- Merchant and context: a trading name may appear differently at the bank. Read the available items and description.
- Origin: identify what came from a note, an uploaded statement or a bank connection.
- Transaction status: check whether the source shows a pending charge, a completed payment or a refund.
A date difference may have an explanation. A similar name may hide another purchase. If you lack the source needed to settle the question, leave the review open and find the document before confirming a merge.
Two uploads are different from a bank connection
A statement uploaded as a PDF or photo is a captured document. A transaction received through a bank connection has a different origin in the system. That distinction matters when interpreting suggestions.
Automatic suggestions for possible duplicates compare eligible bank entries with note or manual records. They do not promise to compare every receipt automatically with every uploaded PDF. Statement capture also has mechanisms to reduce repetitions across documents, but readability, dates and the information available affect the result.
You can investigate two records in Entries even without a suggestion. The absence of an alert does not establish that they are different purchases. For the capture flow, see the bank statement guide.
Review the suggestion and decide what it means
When These may be the same entry appears, compare both sides. Until you decide, both entries still count toward your totals. A total with unresolved suggestions deserves that check before it guides a budget decision.
If the sources confirm a single purchase, choose Same entry, merge them. This flow keeps the bank entry and stops counting the note or manual record separately. The note and its receipt are preserved as a linked reference.
If they are two real purchases, choose These are different entries. Two visits to the same shop, for example, may have the same amount on the same day. Dismissing the suggestion keeps both records; similarity does not require a merge.
Merging in CleverNote organizes your records. It does not cancel or dispute a charge with the bank or merchant. If the statement really shows two charges for one purchase, seek confirmation and contact the institution responsible.
Review a merge you choose yourself
When editing an entry, This is a duplicate of another entry lets you find another record and review a manual merge. Before confirming Merge, read which records appear under Keeps and Removed.
Different currencies block this merge. If the amounts differ, check the warning and source before continuing; a difference should not be erased just to make the total look right. At confirmation, check the amount shown under Keeps and the source before merging. Then check the resulting entry, especially if either record has already been corrected.
Linking a receipt alone does not resolve two duplicate entries. Deleting the note to try to reduce a total may remove the very evidence you need. The linked receipts guide explains that distinction.
Return to the total and the sources
After deciding, check the updated Entries, the period total and access to the receipt. If the screen reports a failure to save or refresh, read the displayed state before repeating the action. In a shared space, coordinate the review with anyone else following these records.
Finance and Notes use the same account and space, with their own navigation. This financial review takes place in Finance.
Open CleverNote Finance and choose one pair to review: compare the sources, decide whether there were one or two purchases, and check the total afterward.
