What you authorize

The assistant can search notes, people and financial information across the authorized space, answer with sources and create notes, including during an answer. Starting in Notes or Finance grants the same scope. This does not grant access to Google Calendar or account settings, editing or deleting records.

In a shared space, other members are informed who authorized the client and when. The external assistant receives the data it requests under its own policies. Revoking stops new access but does not delete copies already received.

Authorization is separate from usage: a connection is only marked as used after the assistant executes a tool. Normal operation quotas and shared operational limits still apply. A plan change or ended trial does not revoke consent.

Review or revoke access

Open Account → Privacy and data → Authorized access in either product, on the web or mobile. Check the client, person responsible, space, dates and status. Revoke access after confirming the client and space. A partner can see the access metadata; only the person who authorized it can revoke it.

Advanced personal tokens use the same consent and last up to 90 days. The token is shown only once. Keep it in your client's protected credential storage. Use OAuth for ChatGPT. Existing manual connections require an explicit authorization review.

Troubleshooting

Sign-in or authorization expired
Start the connection again from your assistant. The connection lasts up to 90 days and expires after 30 days of inactivity.
Space changed
Review and authorize again. A change in shared-space membership requires new consent.
Temporary limit or operation quota
Wait before retrying or check the operation's quota. Creating another token does not reset limits or quotas. Your authorization remains valid.
Operational suspension
Wait until service is available again. You can still review and revoke access.
Invalid client or request
Start again from the current assistant configuration and check its official instructions.
