Share a copy of a note: check the content before sending

You saved a useful note, and now someone needs that information. It might be a meeting summary, a set of instructions or a document photo. Before sending everything, decide which part will help the person take their next step.

In the web version of CleverNote Notes, Share prepares a copy of the note. Sending it does not create a public link to the original or give access to your account or the rest of your notes. The person receives the content you choose to send.

Read the full note before sharing

Imagine this fictional example: you recorded a conversation about a workshop and want to send instructions to the person preparing the room. The note also contains planning comments and a personal phone number that are not needed for that task.

Open the note and read its title, body and files before opening the sharing options. The window preview only shows part of the text; it does not replace that review. If only a passage needs to leave your notes, copy the passage you need into a new message and check the pasted text before sending.

If the text was extracted from a photo or PDF, compare names, dates and instructions with the document. The capture guide explains how each format enters your notes. Reviewing the reading before sending avoids passing along an interpretation you have not checked yet.

Choose what goes into the copy

At the top of the open note, choose Share. In Share note, review the options shown:

Shared text does not include the note’s panels for tags, people or reminders. That does not remove information written in the content itself: a phone number, name or website address in the body can go into the copy. Read the selected files too, because anything visible inside a photo or PDF remains in that file.

Audio and SVG images are not offered as attachments in this window. For an audio note, check the transcription text you intend to send.

Check the message at its destination

File sharing options depend on browser support. When system sharing is available, choose Share and check the recipient and content in the destination app. Verify that the intended files went with the message before completing the send.

You can also use Copy text and paste the copy where you need it. Without system sharing, the window offers image downloads; the PDF remains accessible from its file row inside the note. Do not assume that copying the text also copied its attachments.

To send several selected notes, Share brings their texts together in one message, separated by note. This multiple note send does not include attachments. If the person needs a document, open the relevant note and check the file separately.

Keep clear what a copy means

Sharing does not change the original note. Likewise, a later edit in CleverNote does not update text or a file that has already been sent. If a decision changes, send a new message explaining the update instead of expecting the earlier copy to change with it.

In the workshop example, the best message might be only the checked instructions, with the event name and date. The complete history remains a reference for you. The meeting notes guide can help you keep that context easy to find.

Open CleverNote Notes, choose a note and review its full content before preparing the copy. Send what the other person needs for their next task.
